01Choose your process

A practice administrator enables conflict checks. Practices using another clearance system can leave the feature off.Fictional example, not a clearance precedent. Decisions require professional judgement and appropriate evidence. Timing is compressed.

The decision belongs to your practice.

01

Find the property across clients

Look for previous involvement through linked properties, normalised addresses and recorded property identifiers. Earlier work can surface even when the prospective client is different.

02

Consider the people and parties

Include the instructing client and contact, add owners, buyers, tenants or other related parties, and record declared personal or financial interests.

03

Give reviewers the evidence

Practice administrators and directors review matching instructions and record an assessment. Other users see a restricted status without confidential involvement details.

04

Retain a clear decision history

Record the outcome, reasons, evidence references, any conditions and consent assessment. Keep earlier checks and decisions when circumstances change.

05

Recheck when circumstances change

Material changes to the property, parties, scope or practice policy—and new matching involvement—can require fresh clearance before the work proceeds.

06

Fit your existing process

Leave checks disabled if your practice uses another system. When enabled, reviewers can record an external clearance process and reference if your administrator permits it.

Your policy, in your workspace

Make the process explicit.
Keep the professional judgement.

Choose whether clearance is also required at the Proposal stage. Record your practice policy and reviewer instructions in Settings. Conflict checks support your professional process; they do not determine whether an instruction is acceptable or guarantee regulatory compliance.

Coverage is shown with each check. SurveyDock searches retained records within your practice; it cannot identify work held only in other systems, unknown corporate relationships or undisclosed interests. Incomplete checks require further review.

Does earlier work automatically mean a conflict?

No. Previous involvement is a reason to review the proposed work, the parties’ interests and any confidential information held. The authorised reviewer records the professional assessment and outcome.

Does old work stop mattering after five years?

The search does not apply a five-year cut-off. It includes retained matching records, with dates visible so reviewers can assess their relevance. Your practice remains responsible for its retention policy.

Can we keep our existing clearance system?

Yes. Conflict checks are off by default. If you enable them, your administrator can also permit reviewers to record an external clearance reference alongside the instruction.

Is this only for CRM customers?

No. Checks can start from RCA, Schedule of Condition, PPM and SBC instructions. Practices with the Opportunities module can also check work while it is in the pipeline.
